How to delete a document

Last reviewed 26 September 2026

Open the document and delete it. A draft, a completed document, a declined one or a withdrawn one can be deleted straight away; one that is out for signature has to be withdrawn first.

What goes

  • The PDF, the signed copy and the completion certificate.
  • The signatures and everything anyone filled in.

What stays

A record that the document existed, and its audit trail, stay. That record is what shows a contract was signed if anyone ever relies on it, so deleting the file doesn't erase the fact. If you want the personal details in that record removed too, ask us.

The people you sent it to keep the copies that were emailed to them. They aren't told you deleted it.

Who can delete it

  • On Free, anyone in the organisation who can see the document.
  • On Pro, the person who sent it, or an owner or admin.

If somebody deletes a document that someone else sent, the sender is emailed to say who deleted it and when.

Documents Paraph deletes without you asking

Only one kind: a draft that was never sent, 90 days after it was last edited, with an email 14 days before. On Pro you can also set retention rules that delete documents on a schedule.
